An applicant tracking system is software that parses your resume into structured data, then ranks you against the job description. ATS friendly simply means the software can read your resume cleanly and match it to the role. Most resumes that fail do so for boring, fixable reasons.

The single biggest cause of failure is layout. Two column designs, text inside graphics, tables, headers and footers, and unusual fonts all confuse the parser. The fix is a single column, plain text friendly layout. That is it. Pretty does not pass. Clean passes.

Step by step: build the resume

  1. Start with a single column layout. One column, top to bottom. Name and contact details at the top as plain text, not in a header. Standard section headings: Summary, Experience, Skills, Education.
  2. Use a standard font. Something common and readable. Skip decorative fonts. Keep formatting simple: bold for headings, regular for body, no text boxes, no tables, no columns.
  3. Write experience as accomplishments, not duties. Each bullet should show a result, ideally with a number. Not responsible for managing a team, but led a team of six that cut processing time by forty percent.
  4. Match the job description. This is the part that decides whether you pass. Pull the key phrases from the posting and make sure your resume uses the same language where it honestly applies.
  5. Export as PDF unless told otherwise. A clean, single column PDF parses well in modern systems. If a posting specifically asks for DOCX, send DOCX.
